TERMS OF SERVICE
1. Enrolment & Trial Classes
• 1.1 Trial classes must be booked in advance and are subject to availability.
• 1.2 After a trial, a place is not confirmed until full enrolment and payment are completed.
• 1.3 Enrolment continues automatically unless written notice is given (see 3.4).
2. Uniform & Appearance
• 2.1 Uniform is compulsory for all students. At minimum, dancers must wear the official AHDC t-shirt, which is required at enrolment.
• 2.2 Proper uniform ensures safety, professionalism, and a sense of unity within our team.
3. Payments & Fees
• 3.1 Payments are due every four weeks. Invoices will clearly show the next due date (e.g. July 24th).
• 3.2 Once a payment is made, it is non-refundable, including in cases of absence, holidays, or withdrawal.
• 3.3 Refunds may be considered for illness only, and are at the director’s discretion — this is not guaranteed.
• 3.4 A minimum of four weeks' written notice must be given to info@ashleyhamiltondance.com if you wish to leave AHDC.
• 3.5 A £2 per day late fee will be charged for overdue payments.
• 3.6 A discount is available for siblings enrolled at AHDC.
• 3.7 Multi-class discounts may also be offered depending on age, class structure, and class needs. These are applied at AHDC's discretion and reviewed termly.
4. Communication
• 4.1 All official communication will be sent via WhatsApp, email, or posted on our website and social media pages.
• 4.2 It is your responsibility to stay up to date with all notices and messages.
• 4.3 We aim to respond to emails within 48 hours during term time.
5. Class Attendance & Cancellations
• 5.1 Dancers must be dropped off on time and collected promptly.
• 5.2 Regular attendance is essential, especially when preparing for shows and performances.
• 5.3 If AHDC cancels a class (e.g. due to staff illness), a make-up class will be offered where possible.
• 5.4 Refunds are not guaranteed in the event of cancellations.
6. Behaviour & Conduct
• 6.1 All students are expected to behave respectfully and follow instructions from AHDC staff.
• 6.2 Disruptive, disrespectful, or unsafe behaviour may result in a student being removed from class.
• 6.3 AHDC reserves the right to terminate a student’s place if their behaviour compromises the safety or wellbeing of others.
7. Shows & Performances
• 7.1 Participation in shows is optional but highly encouraged. Once committed, full attendance at rehearsals is expected.
• 7.2 Some shows may include a non-refundable show fee to help cover venue, costume, and staffing costs.
• 7.3 These fees will be clearly communicated in advance. Refunds will not be given if a dancer later withdraws.
8. Private Lessons
• 8.1 Private lessons must be paid in advance and are non-refundable unless cancelled with 48 hours' notice.
• 8.2 Late arrivals or missed sessions may not be rescheduled unless agreed in advance.
9. Photography & Media Consent
• 9.1 AHDC may take photographs and videos during classes, rehearsals, and events for promotional use.
• 9.2 If you do not consent, please inform us in writing via email to info@ashleyhamiltondance.com.
• 9.3 Without written opt-out, we will assume permission is granted.
10. Health, Safety & First Aid
• 10.1 Parents/guardians must inform us of any medical conditions, allergies, or injuries, and keep this information up to date.
• 10.2 In a medical emergency, staff may administer basic first aid and call emergency services if required.
• 10.3 By enrolling, you consent to emergency care unless otherwise stated in writing.
• 10.4 Parents will be contacted immediately in the event of any incident or concern.
11. Safeguarding & Chaperoning
• 11.1 AHDC follows strict safeguarding procedures.
• 11.2 Parents are not permitted backstage or in changing rooms unless registered as an official chaperone.
• 11.3 Show-day chaperones must be approved by AHDC and DBS-checked or directly supervised.
12. Data Protection (GDPR)
• 12.1 We collect and store personal data to operate safely and efficiently. This includes names, contact details, and medical info.
• 12.2 All data is stored securely and will not be shared with third parties.
• 12.3 We are committed to operating in accordance with GDPR at all times.
13. Commitment to Our Dancers
• 13.1 AHDC is committed to supporting every dancer’s growth in skill, confidence, creativity, and teamwork.
• 13.2 We value kindness, consistency, and open communication — and we encourage families to share in this ethos with us.
