TERMS OF SERVICE

By enrolling at Ashley Hamilton Dance Company (AHDC), you agree to the following Terms & Conditions.

1. Enrolment & Trial Classes

1.1 Trial classes must be booked in advance and are subject to availability.

1.2 Enrolment continues automatically unless written notice is given (see section 3.5).

2. Uniform & Appearance

2.1 The AHDC uniform is compulsory and must be worn to every class unless otherwise stated.

2.2 At minimum, dancers must wear the official AHDC t-shirt, which is required at enrolment.

2.3 Full uniform, including leggings or shorts and appropriate footwear, is available via our website or directly from the studio.

2.4 Proper uniform ensures safety, professionalism, and a sense of unity within our team.

3. Payments & Fees

3.1 Payments are due monthly, on the 1st of each month.

3.2 Invoices are sent by email in advance, and payments must be made by the due date to avoid late fees.

3.3 Once a payment is made, it is non-refundable, including in cases of absence, holidays, or withdrawal.

3.4 Refunds or credits are not issued for voluntary breaks or absences. In cases of long-term medical absence, a credit may be considered at the director’s discretion and must be supported by medical documentation.

3.5 A minimum of four weeks’ written notice must be given to info@ashleyhamiltondance.com if you wish to leave AHDC. Notice must be received before the next invoice is issued.

3.6 A £2 per day late fee will be added from the day after the due date until payment is received.

3.7 If a payment plan is agreed, it must be adhered to in full. Missed or late payments may result in the plan being cancelled and the balance referred for recovery.

3.8 Discounts are available for siblings and multi-class enrolments, applied at AHDC’s discretion and reviewed termly.

3.9 Failure to pay within 7 days of the due date may result in your child being unable to attend classes until payment is received.

3A. Fee Structure & Holidays

3A.1 AHDC fees are averaged across the year and divided into 12 equal monthly payments.

3A.2 This means the monthly fee remains the same each month, regardless of how many classes fall within that month.

3A.3 Our annual schedule includes a short two-week Christmas break, during which no classes run. Fees during this period are still payable, as the yearly cost of tuition, staffing, and studio operations has been averaged to provide consistent monthly payments.

3A.4 This approach avoids large one-off payments and ensures fairness and simplicity for all AHDC families.

3A.5 AHDC also reserves the right to close for bank holidays or short maintenance periods, which are included within the yearly fee structure.

4. Communication

4.1 All official communication will be sent via WhatsApp, email, or posted on our website and social media pages.

4.2 It is your responsibility to ensure AHDC has your correct contact details and to stay up to date with all messages.

4.3 Payment reminders and important updates will be sent via WhatsApp and/or email.

4.4 We aim to respond to emails within 48 hours during term time.

5. Class Attendance & Cancellations

5.1 Dancers must be dropped off on time and collected promptly.

5.2 Regular attendance is essential, especially when preparing for shows and performances.

5.3 If AHDC cancels a class (e.g. due to staff illness), a make-up class will be offered where possible.

5.4 Refunds are not guaranteed in the event of cancellations.

5.5 If AHDC must close temporarily due to circumstances beyond our control (e.g. weather, repairs, government restrictions), online or make-up classes will be offered where possible. Refunds are not guaranteed.

6. Studio Facilities & Conduct

6.1 Parents and guardians must wait in the designated waiting area and should not enter the studio during class time unless invited.

6.2 Only water is permitted inside the studio.

6.3 Please ensure all belongings are clearly labelled. AHDC is not responsible for lost property.

6.4 The studio is a shared and respectful space — please keep noise to a minimum in waiting areas.

7. Behaviour & Conduct

7.1 All students are expected to behave respectfully and follow instructions from AHDC staff.

7.2 Disruptive, disrespectful, or unsafe behaviour may result in a student being removed from class.

7.3 AHDC reserves the right to terminate a student’s place if their behaviour compromises the safety or wellbeing of others.

8. Shows & Performances

8.1 Participation in shows is optional but highly encouraged. Once committed, full attendance at rehearsals is expected.

8.2 Some shows may include a non-refundable show fee to help cover venue, costume, and staffing costs.

8.3 These fees will be clearly communicated in advance and must be paid by the specified deadline.

8.4 Refunds will not be issued if a dancer later withdraws from a show.

8.5 Costume fees are separate from class fees and are payable upon request.

9. Private Lessons

9.1 Private lessons must be paid in advance and are non-refundable.

9.2 A minimum of 24 hours’ notice is required to cancel or reschedule a private lesson. Cancellations with less than 24 hours’ notice will be charged in full.

9.3 Late arrivals may not receive the full session time.

10. Photography & Media Consent

10.1 AHDC may take photographs and videos during classes, rehearsals, and events for promotional use.

10.2 If you do not consent, please inform us in writing via email to info@ashleyhamiltondance.com.

10.3 Without written opt-out, permission will be assumed.

10.4 Photography or filming by parents/guardians during classes is not permitted unless authorised by AHDC staff.

11. Health, Safety & First Aid

11.1 Parents/guardians must inform AHDC of any medical conditions, allergies, or injuries and keep this information up to date.

11.2 In a medical emergency, staff may administer basic first aid and call emergency services if required.

11.3 By enrolling, you consent to emergency care unless otherwise stated in writing.

11.4 Parents will be contacted immediately in the event of any incident or concern.

12. Safeguarding & Chaperoning

12.1 AHDC follows strict safeguarding procedures in line with national child protection standards.

12.2 Parents are not permitted backstage or in changing areas unless registered as an official chaperone.

12.3 All show-day chaperones must be approved by AHDC and DBS-checked or directly supervised.

13. Data Protection (GDPR)

13.1 AHDC collects and stores personal data to operate safely and efficiently. This includes names, contact details, and medical information.

13.2 Data is stored securely and will not be shared with third parties without consent.

13.3 By enrolling, you consent to AHDC securely storing your information for operational, communication, and safeguarding purposes.

13.4 You may request data deletion at any time by emailing info@ashleyhamiltondance.com.

14. Fundraising & Scholarships

14.1 AHDC runs regular fundraising activities (such as raffles and sponsored events) to enhance studio facilities and support scholarships for dancers from less fortunate backgrounds.

14.2 Participation in fundraising is optional but greatly appreciated.

15.2 We value kindness, consistency, and open communication — and we encourage all families to share in this ethos with us.
